Senior Executive Assistant at Maxbit Digital Asset

Responsibilities
  • Arrange meetings for the Board of Directors, Management Committee, and AGM, and coordinate to ensure that all resolutions have been implemented and comply with the Company's Articles of Association.
  • Ensure the Company and the Board of Directors comply with relevant laws, rules, and regulations, as well as resolutions from both the Board and AGM meetings.
  • Prepare and maintain important documents of the Company.
  • Possess a basic understanding of rules and regulations for a public company.
  • Schedule and coordinate meetings for executives and directors, including preparing agendas, distributing meeting materials, and arranging logistics.
  • Facilitate complex meetings, ensuring that discussions are well-structured, decisions are accurately recorded, and follow-up actions are tracked.
  • Take detailed minutes during meetings, capturing key discussion points, action items, and decisions made.
  • Maintain a comprehensive database of minutes, resolutions, and other corporate records, ensuring they are properly organized and easily accessible.
  • Stay updated with relevant laws, regulations, and industry best practices to ensure compliance with regulatory requirements.
  • Implement and maintain effective company secretary processes, including managing corporate governance, board communications, and regulatory filings.
  • Provide guidance and support to the executive team and directors on matters related to corporate governance, compliance, and regulatory requirements.
  • Coordinate with external legal advisors, auditors, and other stakeholders to ensure timely completion of regulatory filings and compliance activities.
  • Assist in drafting and reviewing corporate documents, including resolutions, agreements, and other legal instruments.
Qualifications
  • Bachelor's degree in Law, Business Administration, or a related field. A certification or qualification in company secretarial practice is preferred.
  • Proven experience as a Company Secretary or a similar role, preferably within the crypto trading or financial services industry.
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
  • Strong knowledge of corporate governance principles, regulatory frameworks, and compliance requirements applicable to the crypto trading industry.
  • Proficient in minute-taking and preparing accurate and detailed meeting minutes.
  • Exceptional communication and interpersonal skills, with the ability to interact effectively with executives, directors, and external stakeholders.
  • High attention to detail and a strong sense of professionalism and confidentiality.
  • Proficient in using company secretary software and other relevant tools.
  • Familiarity with the legal and regulatory landscape of the crypto trading industry is an advantage.
